Introduction
Tracking of missed appointments is among the critical healthcare functions that improve
the patients’ medical conditions. Reputable healthcare organizations have the responsibility of
ensuring that all the patients’ appointments are documented on their database. The data is used to
remind the patients of impending appointments. The medical consultants should also have a list
of patients’ appointments beforehand. The information enhances healthcare planning and
management of the patients’ medical conditions. However, due to the huge workloads in
healthcare organizations, the clinical administrators do not follow-up on the clients’
appointments. While patients are supposed to be responsible enough, healthcare firms have an
ethical responsibility for tracking the appointments.
Rationale
Tracking of missed appointments is lacking in my current organization as the healthcare
workers are preoccupied with their primary responsibilities. The physicians and other medical
consultants do not have a list of individuals who are scheduled for the appointments.
Consequently, they only serve the available patients. Those who fail to come are not contacted
by the hospital administration. However, the report by Addison, Baim-Lance, Suchman, Katz,
Swain, Piersanti, & Nash (2019) indicates that some patients may fail to honor the appointments
due to external factors that are unavoidable such as financial constraints. Some patients with
mild clinical conditions may tend to ignore the appointments when their condition improves
(Campbell, Ordunez, Jaffe, Orias, M., DiPette, Patel, & Lackland, 2017). Studies by Gier (2017)
indicate that some patients forget about their medical appointments. Therefore, if the hospital
administration reminds the patients’ on the impending visits, then most of them can honor the
prescribed appointments. Conversely, the report by Nyende (2020) indicates that failure to meet

the medical appointments may result in exacerbation of the patient’s medical conditions. The
contemporary healthcare problems can easily be managed at an early stage. These medical
appointments allow doctors to monitor the patients’ test results and physical symptoms, thereby

Tracking of the missed appointments will help to meet the federal, state and local
compliance standards on quality healthcare management by minimizing the need for emergency
room services. The report by Taber, Fleming, Fominaya, Gebregziabher, Hunt, Srinivas, &
Egede (2017) indicates that the federal and state governments spend considerable resources on
managing patients who need emergency services. However, if the missed appointments are
tracked, the healthcare organization will prevent the deterioration of the patients’ medical
conditions, thereby relieving the federal, state, and local governments’ healthcare resources.

Healthcare organizations have the legal mandate of maintaining the patients’ medical
records, following the missing test results and also communicating with the clients about their
conditions. Therefore, tracking of the missed appointments falls under the organization’s legal
responsibilities. Although the risk management strategy may increase the overall administrative
costs, it will promote the quality of primary care and also help to improve the patient’s medical
conditions (Pérez-Roman, Alvarado, & Barrett, 2020). Further, risk management is a service
differentiation strategy that will promote the organization’s brand identity and also attract more
customers (Nyende, 2020). The level of patients’ satisfaction in the organization will increase as
the organization is committed to meet their welfare needs.

The risk management strategy will be implemented by appointing health information
administrators who will be responsible for managing the patients’ data. An automated
information system can be used to alert the patients at least two days before their appointments.
These patients will be required to confirm whether they will meet the appointments. In the event
the patient cannot meet the appointment, then he or she can be rescheduled for another date.
Challenges
The primary challenge that may be encountered in the execution of the risk management
strategy includes financial constraints. The healthcare organization may be required to hire more
administrative officers who will be responsible for tracking the patients’ appointments.
Evaluation
The success of the risk management plan will be evaluated based on the degree of missed
appointments. The short term goal will include minimizing the rate of missed appointments. The
long term goal will be improvements in the patients’ conditions by minimizing exacerbations.
The end goals are to improve the overall healthcare service by minimizing the demand for
